1. Who is responsible for your information?
Ask Wakefield is a service operated by Mediahubink Limited (company number 17218602), registered in England and Wales. Mediahubink Limited is the data controller for personal information collected directly through Ask Wakefield.
Registered office: 7 Tileyard North, Wakefield WF1 5FY. Email: hello@mediahubink.com.
You can also read Mediahubink's wider corporate privacy information at mediahubink.com/privacy.
2. Information we may process
| When you use Ask Wakefield | Information involved |
|---|---|
| AI chat | The messages you type, the conversation context sent with the request, and limited technical information needed to operate and protect the service. |
| Event submissions | Event details, organiser or submitter name, email address, organisation name and links you choose to provide. |
| Club, activity or business listings | Listing details, public contact details you choose to provide, source links, your name, email address, relationship to the listing and moderation status. |
| Featured Listing / Local Partner interest | Your submitted contact details and the fact that you asked to hear about the commercial option. |
| Corrections or enquiries | The information you send us when asking for a correction, removal, support or other response. |
We do not ask chat users for sensitive personal information. Please do not provide passwords, financial information, detailed health information, precise home addresses, school details about a child, or other information that is not needed for the question.
3. Why we use information
We use personal information to provide and secure Ask Wakefield, answer questions, check current public information where needed, review and moderate submissions, publish approved public listing details, communicate with submitters, correct inaccurate information and improve the reliability of the service.
For ordinary chat and directory operation we generally rely on our legitimate interests in providing and improving a useful local information service, balanced against people's privacy rights. Where someone actively asks to hear about a Featured Listing or Local Partner option, we use that choice to contact them about that specific commercial interest. Where a legal obligation applies, we may process information to meet it.
4. AI chat and current-source searches
Messages sent to Ask Wakefield are processed by our AI service provider to generate a response. For questions involving changing information, the system may also use search tools to check approved public websites and return source links.
Ask Wakefield does not provide a user account containing a saved chat history. We do not deliberately turn ordinary public chats into Mediahubink sales leads. Technical logs and provider-side retention may still occur for security, abuse prevention and operation of the underlying services.
AI-generated answers can be wrong. Important information should be checked with the original provider or official source before you travel, book, pay, apply or make a significant decision.
5. Who we use to operate the service
We use service providers to run Ask Wakefield. These currently include:
- Anthropic, for AI processing and supported current-source search functionality.
- Vercel, for website and serverless-function hosting, technical delivery, aggregate Web Analytics and Speed Insights.
- Google Workspace / Google Sheets, for storing and reviewing event and listing submissions.
- Resend, for transactional emails such as submission confirmations and moderation messages.
Vercel Web Analytics and Speed Insights are used to understand aggregate visits, referral information and real-world website performance. We do not use those tools to build advertising profiles or sell personal data to advertisers.
These providers process information under their own service and data-protection terms. We do not sell personal data to advertisers.
6. International processing
Some technology providers may process personal information outside the United Kingdom. Where this happens, we review the provider's data-protection terms and rely on an applicable transfer mechanism or safeguard where UK data-protection law requires one.
7. How long we keep information
We use retention criteria rather than keeping everything indefinitely. Chat history is not deliberately stored by Ask Wakefield as a user-account feature. Submission records are kept while they are being reviewed or while the related listing or event is relevant, and may be retained for a reasonable period afterwards for moderation history, corrections, disputes and record-keeping. We review stored submissions periodically and remove information that is no longer needed.
If you want us to delete a submission or personal contact detail, email hello@mediahubink.com. We may need to retain limited information where there is a legal reason to do so.
8. Children and families
Ask Wakefield includes information about activities for children and may therefore be used by young people. We design the service to minimise unnecessary collection of children's personal information.
Children should not provide their full home address, school, phone number, health information or other sensitive details in the chat. A broad area, postcode district or age range is usually enough to find an activity. Event and directory submission forms are intended to be completed by adults, organisations or responsible representatives. If you are under 18 and want to submit a listing or event, please ask a parent, carer or responsible adult to do it.
9. Your data-protection rights
Depending on the circumstances, you may have rights to ask for access to your personal information, correction, deletion, restriction, portability or objection to particular uses. Where processing relies on consent, you can withdraw that consent.
Contact hello@mediahubink.com. You also have the right to complain to the Information Commissioner's Office at ico.org.uk.
10. Changes to this notice
